How to Host Trivia Night at Your Cafe

Trivia night is one of the highest-leverage things a cafe can add. Zero food cost, no new equipment beyond what you already own, and it fills what's usually your slowest evening window. The trick is running it without hiring a paid host — which is where most small cafes get stuck, because live-hosting services charge $150-300 per night and printed question packs get stale fast. Here's how to run a good trivia night at a cafe using a tablet at the counter and your customers' phones.

Why cafes should run trivia

  • Fills a slow midweek evening (Tuesday and Wednesday, 4-8 PM, is the sweet spot most cafes are looking to fill)
  • Groups of three and four buy more per head than solo customers
  • Trivia regulars become weekly regulars fast
  • Low overhead: no prize budget required, no music licensing, no reservations to manage
  • A cafe trivia crowd is not a bar trivia crowd — the format should skew slightly cleaner and more general than what you'd run at a pub

What you need

  • A tablet or laptop at the counter to display the big board
  • A projector or TV for larger rooms — optional, nicer for over 20 people
  • Chairs enough for teams of three or four — rearrange your existing seating
  • A small prize — winning team picks their next round of drinks free, or gets a $10 gift card. Under-promising is fine.
  • Zero printers, zero paper, zero apps for customers

How to structure the night

  • 60-75 minutes total is right for a cafe crowd. Longer and people leave.
  • Three rounds of eight to ten questions each, with a five-minute break between
  • Mix general knowledge, one specific vertical (movies, music, or history), and one wild card (weird facts, animal trivia, food history — customers respond to the strange ones)
  • 15-30 seconds per question depending on difficulty
  • Cap teams at four. Bigger teams turn into gaggles and the answering gets slow.

Marketing the event

  • A chalkboard by the register, updated weekly with the theme
  • One Instagram post three days before, one story day-of
  • Email your regulars if you have a list
  • Tell every customer who orders coffee that afternoon
  • This is neighborhood-scale marketing. Don't overthink it.

Running it with ReignFree

  • Open reignfree.dev on the tablet at the counter — no signup needed to host
  • Pick a ready-made round (Movies, Video Games, and others are ready to go) or generate a custom round about anything — "our regulars’ favorite coffee orders" makes a good closer, tried and true
  • The tablet shows a room code. Announce it or write it on the chalkboard.
  • Customers scan a QR code or type the code into their phone browser, pick a team name, join
  • Read the questions off the tablet or project them; players answer on their phones; scores update live
  • No app to install, no accounts to make, no printer needed

FAQ

Do I need to buy question packs?

No. ReignFree ships with ready-made rounds, and you can generate custom ones by topic.

Can customers play without downloading anything?

Yes. They scan a QR code or type a room code into their phone browser. No app install required.

What if the WiFi is spotty?

Players use their phones on cellular; only the host tablet needs WiFi. One bar is enough.

Do I need a projector?

No. A tablet at the counter works for most cafe layouts. A projector is nicer for rooms over 20 people.

What if too many teams show up?

ReignFree handles unlimited teams per room. Cap by seating, not tech.

Should I charge entry?

Usually no. Drink orders are the entry fee. Free entry brings more people, which sells more drinks.
